A Site Diary is a journal of daily site activities, including instructions issued or received, resources used and any HSE (Health, Safety and Environment) incidents.
This article shows you how to add a Site Diary on the CivilPro Desktop.

1. Navigate to the Site Diary register
2. Click on ‘New Diary’ under the Operations tab or on the bottom toolbar.
3. A dialog box will open – the first page is the Activity Summary. Select the options for the fields. Enter the summary in the ‘Site Activity’ field. Then click ‘Next’.
Note : Skip the Reviewer field for now as this is used for reviewing later.
4a. This is the ‘Instructions’ screen. These can be either instruction received by clients or authorities, or given to subcontractors, suppliers or employees.
Click on the ‘Add Instruction’ tab. The ‘New Instruction’ dialog box will open. Select the options and enter the instruction details, if applicable. Click ‘Save & Close’.
4b. Click ‘Next’ to move to the next page.
5. This is the ‘Costs’ screen where you can enter the estimated cost details of resources such as plant, labour, materials or subcontractors.
Click on the field to enter the details starting with ‘Supplier’. Press ‘Tab’ or ‘Enter’ to move to the next field along the row.
Click ‘Next’.
6a. This is the ‘Cost Code’ screen where you can allocate a cost code to any costs recorded on the day.
Note: The cost codes will need to be set up first in the Cost Code register
6b. Click ‘Manage Codes’ and select the relevant cost code in the dialog box. Click ‘OK’ to close the dialog box.
Click ‘Next’ to go to the next screen.
7a. This is the HSE screen where you can record any incidents or near misses (Health & Safety, Environment), if applicable. Click ‘Add Incident’.
7b. Complete the fields and click ‘Next’.
7c. Enter the description and click ‘Next’ to move to the next tab. Complete all the tabs, if required and click ‘Save & Finish’.
7d. The recorded incident will be listed on the HSE screen. Click ‘Next’ to go to the next screen.
8. This is the Photos screen where you can upload photos to support what you have documented. Click on the tab ‘Upload Photo’ to upload photos from your computer. Click ‘Save & Finish’.
