Punchlists are useful checklists for project stakeholders (contractors, project owners, engineers, etc) to document and track any minor issues such as defects or reworks in the project that must be addressed before project closeout and handover to the project owners. They are created before the final inspection to ensure these tasks are completed in compliance with the terms of the contract.
This process will show you how to:
- Create a Punchlist and add checklist items to it
- Assign a person responsible and set permission to action ( e.g. check, verify or approve)
- Link other users (other than the assigned person responsible) to the Punchlist so that they can check, verify or approve the checklist items
- Link Photos, Documents, Lots , Approvals and NCRs to the Punchlist item

1. Under "Spec and Conformance", click on "Punchlists".
2. Click on "New Punchlist" on the bottom toolbar.
3. In the New Punchlist dialog box, complete the following fields:
- Description - enter a suitable description of the issue
- Punchlist By - the current user, by default
- Punchlist Date - the current date, by default
Click "OK".
4a You'll be prompted to complete the Punchlist Information in the next dialog box (Fig 4a-i).
Click on the following fields to add the required information:
- Ref - autofill numerals in ascending order but can be edited
- Description - details of the issue to be addressed or fixed
- Person Responsible* - type the name, if it's a new contact or select from the dropdown list for an existing contact ( if the person is a new contact, a dialog box will pop up for you to add the contact's details - see Fig 4a-ii)
- Date added - the current date, by default
*Note: Person Responsible does not necessarily have to be an existing user and can be a different person from the user who can check, verify or/and approve the Punchlist ( Step 5).

4b) Under "Item Operations", you can set the actions required for the item by clicking on each action for Check, Verify and Approve. Clicking on each action will remove the check box for that action and to add them back, just click on the action again (Note that all the three boxes are provided by default, so you only have to use this to remove any action not required for the item).
To add more than one row if there are more items to be added to the same Punchlist, click "Add Item" or tab to a new row.
Click "Save".
5) Next, you need to link and set permission for the users who are assigned to check, verify or approve the Punchlist item.
Note: You can assign more than one person and this person need not be the same person that you have assigned as the "Person responsible" for that item. For example, you can assign Alex Build as the "Person responsible" for the Punchlist to check this item. You can then assign another user e.g. John Doe, to approve the item, by using "Users" to link him to the Punchlist. You 'll also be prompted to set the permission level e.g. to check, verify or approve.
Important: Users have to be added and given the appropriate access to Punchlists by the Administrator before they can be linked to a Punchlist.
5a) With the relevant Punchlist selected, under "Roles", click on "Users". In the "User Selector" dialog box, double click on the user's name or click on the "Link Selected" tab.
5b) In the "User Scope Selector" dialog box, select the permission level for the user from the dropdown list i.e. Check, Verify or Approve. Click "OK". Click "Close" on the "User Selector" dialog box.
5c) You can see the linked user and his permission level. Click "Save".
To remove a linked user and permission, click to select the user in question and hit the "Del" key on your keyboard.
6) You can also link photos, documents, approvals, lots and Ncrs to the Punchlist by double clicking on the item under "Related Items". Once finish, click "Save & Close".
