What is Teambinder?
Teambinder is a Document Management system used by some Client’s Representatives to collate the design management and completed construction documentation for a project. CivilPro is a construction management system for compiling the QA records that are submitted to a Document Management System like Teambinder on completion of works.
CivilPro has developed an integration that uses the Teambinder API to perform the controlled transfer of information, to reduce the manual administrative tasks associated with transferring documentation from one system to another.
What is the purpose of the Teambinder integration?
The Teambinder interface in CivilPro is built to facilitate the seamless transfer of information and documents between CivilPro and Teambinder. This interface will enhance the management of your project's QA documentation and also allow a summary of all your conformed Lots and their associated data to be uploaded to Teambinder securely and quickly.
How to Set Up?
Teambinder Set Up Workflow - Overview
If you are looking at using Teambinder in CivilPro, the first step is to contact us and we'll go through with you the setup process. The configuration and the mapping will be taken care of by our CivilPro team so you don't have to worry about the initial setup.
1) Contact CivilPro to request integration - Your project must be licensed for the Teambinder integration ( your subscription or project administrator will need to submit a request to CivilPro). Please note that a processing fee for integration is applicable and this will be discussed with your Administrator.
2) Configure Teambinder -Our CivilPro team will help with this process which comes in two parts :
- Set up Connection and Authentication
- Field Mapping - Configuration of mappings between Teambinder fields and CivilPro fields including Custom Registers, work types, area codes and control lines using the Teambinder settings. This is not visible to end users.
3) Set Permissions (by Your Administrator)
Any functions that add or update Lot data require appropriate authorities, and must have a Lot Review Status supporting upload. To allow a user to upload to Teambinder you must give them at least Add permission (for creating the Teambinder Lot), and/or Edit permission (to add documents / modify the lot record). In addition, the lot’s most recent review status must allow synchronization.

4) Synchronize and establish links between CivilPro and Teambinder records for Lots and Contacts/Users
This step is essential to identify any matching records between CivilPro and Teambinder, before any synchronization can take place. If there is no matching record in Teambinder, you can use the “Create New” function ( Match to Teambinder Lot – Operations) to create a matching record in Teambinder. Alternatively, you can use the function “Create Lot in Teambinder” on the CivilPro Lot register.
Note: Any lots created in CivilPro should only be uploaded to Teambinder when all the work has been completed and validated by an authorised party and conformed. A key user such as a Project Manager or Administrator can be appointed to check and manage the CivilPro-Teambinder synchronization on a regular basis.

5) Using the Teambinder functions in CivilPro
The Teambinder functions are available from the Lot Register in the Review & Sync ribbon page. Please note that the Teambinder and Lot Review functions shown here are only visible when the Lot Review module and Teambinder modules respectively are enabled. Important Information about the Teambinder Integration
While the integration is done by CivilPro and users are not required to understand the details, there are some key items that should be considered for your workflows:
- The Teambinder integration directs through a single account on the Teambinder API. This means all records submitted to Teambinder will reference the integration account as the user id creating / modifying records.
- Teambinder has registers of users and the company they work for as separate registers. CivilPro records a user’s company as an optional field in the users register. Configuration is required to map these entries prior to using Teambinder.
- CivilPro does not record all data required by Teambinder by default. The additional data is supplied through the configuration of Custom Registers. This must be completed as a configuration task
- CivilPro maintains a cache of its last synchronization with Teambinder. The data CivilPro holds for Teambinder information is only as current as the most recent synchronization. Synchronization is performed on a Lot-by-Lot basis.
- When a lot is deleted in Teambinder, the Lot Number is no longer available for use by any other record. This may result in an error if you have a lot in CivilPro trying to map to a Lot Number in Teambinder that has been excluded because the Teambinder lot was deleted. The only solution is to renumber the Lot in CivilPro and synchronize to an available number.
- CivilPro only supports the synchronization of filestore documents to Teambinder in the context of a lot. E.g. Documents can be sent to Teambinder, but only as a supporting document for a lot
- Where a CivilPro document is uploaded and found to exist for the lot, the user will be prompted to confirm a revision number.
