If you have been using CivilPro Desktop V11 for a while, you might have come across the following scenarios and wondering if there are shortcuts or easy ways to complete these tasks. We have compiled a a list of useful tips and shortcuts that will come in handy for our Desktop users :

1. Clearing a Filled Field from a Dropdown List
How do I clear a selected value from a field with an editor (i.e. with a dropdown menu) so that it goes back to blank?
Click inside the field to place your cursor and hit both Ctrl and Del keys at the same time. The field will be reset to null.
2. Enable Editing Shortcut
The keyboard shortcut for Enable Editing on a Register or Detail Page is "Ctrl + E".
3. Generating Multiple Reports in Separate Files
After you have selected the multiple reports (Ctrl + Select) you want to print, go to the Reports tab and while still holding the "Ctrl" key, click on the print report tabs. You'll be prompted to select a folder to save your files.
Doing this will generate the reports separately for example, if you had selected three NCRs, it would generate three individual NCR reports ( i.e. three different files).
Note: If you print WITHOUT holding the "Ctrl" key, it will generate all three reports in a single file.
4. Copying the Same Value to Multiple Fields in a Column
This is also known as the Fill Up/Fill Down function which is supported in several registers and
detail pages in CivilPro. Learn how to use Fill Up/Fill Down.
5. Option to Include or Exclude Filestore Links as Attachments
After linking a Filestore document to an approval, you can choose to include the document as an attachment with the approval. Use the exclude attachment option to remove the attached Filestore document.
Right-click on the Filestore document to view the options.
When the Approval Notification is generated to be sent to the approver, the file will be attached with the email. When "Include as attachment" is being used, the file is highlighted in green.
6. Updating a Requester in an Approval
If you have approvals created by a user who is no longer with the project, or the approvals need to be reassigned to another user. In the Approvals register, under the Operations tab, select the approval to be reassigned and click on the Reassign Requestor tab.
7. Export Data
There are several ways to export data from the register to Excel. You can Print Grid ( under the Reports tab) , or right click anywhere on the register and select Options, then Export to Excel (WYSIWYG) or Export to Excel (Data Aware).
- Data Aware Export - choose this mode if you need to process and analyze the exported data in Excel( e.g. expand/collapse data, format rules, etc). Please note that the data shaping options are not included in CSV format.
- WYSIWYG Export - Retains the Grid layout WITHOUT the data shaping options e.g. summary values will be exported as text strings instead of formulas.
More Shortcuts
Delete a record
Select the record in the grid, and with editing enabled, press the 'Delete' key. In some registers such as the Progress Claim, Invoice and Daycost registers, a locked report period will prevent deletion even if editing is enabled.
Select the record in the related item list and hit the 'Delete' key.
Right click on the related item. An edit form will be displayed.
Paste text into rich text editors without their formatting
Use the paste special key combination Ctrl+ Alt + V
Copy grids without rich text
When copying information from Civil Pro grids which have rich text fields (for example ITP Details), a normal copy and paste will bring all the formatting with it. You can get a text only copy by selecting the rows you want and copying with Ctrl + Alt + C
Create a lot or daycost similar to an existing one
With the lot or daycost you want to copy selected, click on the Ctrl + “ key combination. You can also do this with a lot by holding the shift key when clicking on the new button.
