What is a Controlled Document?
A controlled document is a document related to your project that is usually required to be distributed to groups of contacts in your projects. The controlled document in CivilPro is a document management tool that allows users to add new documents, track their revisions, create distribution lists, and notify the contacts in those lists.
What is the purpose of the Controlled Document?
The controlled document tool allows users to manage their project documents by tracking their revisions and managing their distributions within a single register. There is no restriction on what documents can be included in the register. You use the controlled document register based on your project requirements.
How to Set Up?
You can set up your Controlled Document register by adding the document individually or importing them as a CSV file.
Note: Controlled Documents is currently available for use on CivilPro desktop, but for viewing only on the Web App.
Tips for Users :
- If you are importing a CSV file into the Controlled Document register, learn How to create a CSV file.
- When setting up your distribution lists, you can also use the Groups tool to add contacts to your list.
- Although the document number is free-form, using a running series or creating a numbering system for your document numbers will help to identify your document on your register.
- Use the ‘Show Revisions’ tool to document revisions related to each document number.
- Use the Controlled Doc Transmittals on the desktop to distribute your controlled documents to your list of contacts.
