Check and Verify Inspection Points

Overview

Checking and verifying inspection points is how QA evidence gets locked in against the work. Each item on an attached ITP becomes a row in the Checklist register for that Lot. As you inspect the work, you tick the relevant boxes on each row, attach any supporting evidence (photos, test certificates, dockets), and save.

Note – Hold Points and Witness Points are raised by a separate process - see Request Approval for an Inspection.

Before you start

  • An ITP must already have been attached to a Lot, of which creates a Checklist for that Lot. See Attach ITP to Lots (Checklists).
  • To check and verify Checklist items (inspection points), your assigned Role will require these to be enabled in the Authority tab. Check your permissions by clicking the profile icon to-right, then My Permissions. Contact your Subscription Administrator if you require changes to your Role. 

Step-by-step

1. Open the Checklist register

Under Quality Assurance, select Checklists. Alternatively, with a Lot selected in the Lot Register, open Related Items (chainlink icon on the right sidebar) and select the Checklist under Checklists.

2. Open a checklist

Click Open against the Lot/ITP combination you want to inspect. This will open the Checklist. Alternatively, with a Lot selected in the Lot Register, open Related Items (chainlink icon on the right sidebar) and select the Checklist under Checklists.

3. Tick the inspection items

Work through each row, ticking the Check and Verify boxes as inspections are completed. Use the Comment field on a row to record specifics (instrument used, observed value, deviation noted, etc.). Click Save when done, or save progressively as you go.

4. Attach photos or files to a line item (optional)

You can attach evidence directly against an individual inspection point – site photos, test certificates, delivery dockets, manufacturer’s data, anything that supports your conformance call on that row.

Select the inspection row, then open the Related Items panel (the Chain icon) on the right.

To add Photos:

  • New – Click the + icon next to Photos to upload a file.
  • Existing – Click the Chain icon to link from the Photo Register. Select the required photos and click Save.
  • Camera – Click the Camera icon to take a photo (on mobile, this opens your device camera).

To add Filestore Documents:

  • New – Click the + icon next to Filestore Documents to upload a file (drag-and-drop also works).
  • Existing – Click the Chain icon to link from the Filestore Document Register. Select the required files and click Add.

Attachments appear in the Related Items list against that row. To remove a link, click the Broken Chain icon next to the item.

Tip – Evidence attached here stays linked to that specific inspection point. It’s visible to anyone reviewing the checklist, surfaces in the Photo Register and Filestore Register, and traces back through to the Lot, so the next person to open the file (your reviewer, your client, or future-you) can see exactly which photo or document was used to clear which check.

 

5. Print or download the checklist

Click the Printer icon on the right panel and choose either format:

  • Electronic Checklist – the current digital state of the checklist. Use for distribution and record-keeping.
  • Field Complete Checklist – a hard-copy version with signature blocks for the Responsible Officer and Verifying Authority. Use when wet-ink sign-off is required in the field.

Common questions

Do I need to tick every box on a row?
Each row may have multiple required ticks (e.g. Checked and Verified). A row only counts as complete when all its required boxes are ticked. Complete rows are visually distinct in the register so you can see at a glance what’s outstanding.

Does ticking the box release a Hold Point?
No. Ticking confirms the check has been done. Hold Points and Witness Points still need to go through the Approval workflow before work can proceed past them. See Request Approval for an Inspection.

Can I do this on my phone?
Yes. CivilPro Web runs in a mobile browser and the Checklist register is designed to be usable in the field, including the Camera option for capturing photos directly against a row.

What’s the difference between attaching a photo here versus in the Photo Register?
They’re the same photo, linked in two places. A photo attached via Related Items on a checklist row will also appear in the project Photo Register, and a photo uploaded to the Photo Register can be linked back to a checklist row. Either entry point works.
