If someone was added to your project as a Contact and now needs to sign in to CivilPro, you can promote the Contact to a full user from their profile. If you're not sure of the difference between a Contact and a user, see Add Contacts.
Note: only Subscription Administrators can promote a Contact to a full user.
Instructions
1. Select the relevant project and navigate to the Contacts register.
2. Click the Contact's name to open their profile. Contacts are listed alphabetically by first name. A Contact has no profile icon next to their name – if you see a profile icon (fig 2b), they are already a full user.
Fig 2b
3. Scroll to the bottom of the page and click Promote Contact To Full User.
4. Enter the Username (their email address works well), select the appropriate Role, enter and confirm a password, then click Save.
After promoting
- Advise the person of their username and password. They can change the password themselves once signed in – see Change Own User Password.
- To give them access to other projects, see Add Existing Users to an Existing Project.
- Check for duplicate Contacts: promotion converts this Contact entry only. If the person has any other Contact entries on the project, rename them (for example, add '(Contact Only)') or delete them – a Contract Notice addressed to a leftover Contact entry cannot be opened by the person's new User account.
Next steps
Now they can sign in:
- Add Existing Users to an Existing Project – link the new user to their other projects
- Change a User's Role – adjust their Role later if their involvement changes
