This process shows you how to customize your notification templates.
CARE: These notification templates are set up by default and if they are inadvertently deleted or their default template settings are changed, it may lead to errors in sending out notifications. Hence, we do not recommend making major adjustments to these templates. However, you can make minor adjustments such as adding some text or fields to the Subject or Body of your template to personalize your emails.
It is important to understand that templates can be defined at the subscription level (you can see these in the Projects Register) and the Project level (Other Setup).
1. Listing the templates
For subscription Templates In the Projects register, on the left panel, click on “Notification Templates”.
For project level templates, Other Setup => Approval & Notification Templates
2. Click on the template that you want to customize the text. For this example, we are selecting the “User Invite Email”.
3. The two fields that you should look to for customizing your emails are:
- Subject
- Body
You can add or update the text, and/or add Auto Complete Fields from the Field Chooser Menu. Click on the Field Chooser icon on the right panel to see the full list of fields. To insert fields, ensure the cursor is at the space where the field is going to be placed, and click on the relevant field option from the Field Chooser menu.
Click “Save”.
Note: Changing the other settings may result in your notification not linked correctly to the relevant items in your system.
4. To insert a table or hyperlink into the template, click on the 'Insert' tab.
Once you finish editing, click “Save”.
Note: If you are inserting a table into your template, please note that there are certain rules on what Field Chooser can be included in the table. It follows the same rules as the Contract Notice Template Field Chooser.
